20 questions about All Gravy, answered straight

These are the questions and objections hospitality operators actually put to us. Short, honest answers - including the ones where the honest answer is "it depends" or "then don't buy it".

The money questions

Every one of these starts in the same place: what you already spend, not what we charge.

01Will All Gravy cost more than I'm paying now?

If we're just adding to your bill, don't buy it.

That is genuinely how we look at it. The whole point of All Gravy is to replace tools you already pay for: the comms tool, the LMS nobody finishes, the handbook system, the intranet, the survey tool with three logins a month.

Done properly, your total lands the same or lower than today, and your team gets one app instead of five. If the numbers don't work out that way for your setup, we would rather tell you than sell you. Start from what you pay now and work back: see how our pricing is built.

02You're not the cheapest. Why?

True. If you only want one thing, you'll find cheaper.

Buy a standalone comms tool and someone will undercut us. But cheap and good rarely go together, and the expensive thing was never the invoice - it's the licence nobody uses.

Think about what WhatsApp chaos actually costs you: messages missed, ex-staff still sitting in groups, managers on call at midnight, good people drifting out of the industry because work feels disorganised. Free isn't free. What you pay us for is one place people genuinely use, and the hours it hands back to your managers every week.

03How do I calculate ROI on this?

Don't start with our price. Start with yours.

Add up everything you currently pay across tools that touch your people. Four tools? Compare that total to four All Gravy modules. That is the real comparison, and for most operators it comes out lower than what is already leaving the account.

Then add the number that dwarfs software spend: turnover. In our study of 28,002 hospitality employees across 143 operators, the most engaged employees left 69% less often than the least engaged. The full benchmark and the turnover cost calculator are here.

We'll do this math with you, using your headcount and your churn rate, before you commit to anything.

04How is the price put together?

Modules you pick, times headcount. That's it.

Choose the modules you actually need - Communications, Learning, Handbooks, AI, Operations - and pay per person per month. You don't pay for what you don't use, and you can add modules later when you're ready.

Smaller teams pay a flat fee instead. Full breakdown on the pricing page.

05Is there a big upfront cost?

One setup fee, and what it buys you is a person.

Not a welcome PDF and a login. A real human who configures the platform around your business, builds the structure, and gets your content in properly. Usually about two weeks from signed contract to go-live.

And the part that matters: your subscription doesn't start until you're live. We are not billing you while we build.

06Is there flexibility on price?

A little. Contract length is the main lever.

The pricing is already tight, so there isn't much room, and we'd rather be upfront about that than dance around it.

More to the point: we don't want to win you with a big discount. Discounts don't survive renewal, and a deal that only made sense because it was cheap tends to fall apart in month nine. We'd rather win on what the platform does for your team, and on a business case that still stands up a year in.

02  /  Fit and stack

Does it actually fit what we run?

Whether All Gravy replaces your tools or sits on top of them is your call, not ours.

07Is this a true all-in-one, or do I still need HR and scheduling on the side?

Nearly, and the gap is closing fast.

Live today: communications, learning, handbooks, compliance, onboarding, operations and AI. See everything that's live.

Scheduling launches shortly and an HR system is in build. Very soon that's one platform for the whole people side of a hospitality business, rather than one platform plus two workarounds.

08Does it replace WhatsApp and the closed staff groups?

Yes. That's the whole idea.

We replace WhatsApp with something that feels close enough that nobody needs training, but is controllable, customisable, compliant and fully branded to your business.

No personal phone numbers passed around. No ex-employees still in the group four months later. No manager's private life bleeding into work. Targeting by role and location, so people only get what's relevant to them. See how chat and feeds work, or read the honest comparison of WhatsApp alternatives.

09What if I already have a training system?

Most people switch anyway, because the old one is clunky and nobody finishes anything in it.

Our LMS is closer to Duolingo than to a compliance portal: bite-size modules, video-based, mobile-first, built for people who learn on the bus. That is not a design flourish, it's the entire point. A course nobody completes isn't training, it's a tick box.

Real engagement is the difference. Worth a look: blended learning, which puts digital courses, trial shifts and workshops in one journey, and compliance training people actually finish.

10Can it integrate with our systems - scheduling, payroll, POS?

Yes. 30+ integrations, and it works as a layer rather than a replacement.

All Gravy can sit on top of everything you already run. One door your team walks through, everything else underneath it. Staff stop hunting for the right app and you stop rebuilding your stack.

If you'd rather integrate than replace, that's a perfectly good way to use us. See what we connect to.

11What if my system doesn't have an open API?

Tell us what you use and we'll build the connection.

We have a full-time developer who does nothing but integrations. Hospitality runs on a lot of older, closed systems, so this is a normal request rather than an awkward edge case. Name the system on the first call and we'll tell you straight what's involved.

12Do you support SSO and access management?

Depends on your setup, and some of it is on the roadmap.

This is one where we're not going to pretend everything is already shipped. If SSO or a specific access-management setup is a hard requirement for you, flag it in the first conversation, not in week three. Then we can make sure it lands before you go live rather than after.

03  /  Getting live

How much of this lands on me?

Less than you think. The platform is quick. Content is the real variable, and you're not doing it alone.

13How long does it take to get going?

Two to six weeks. Call it a month if your content is roughly ready.

Setting up the platform is the fast part. What takes time is content, and that's true of every platform in this category. The difference is who does the work.

You get solution engineers who set it up with you in the fastest sensible order, and we migrate what you already have, whatever format it's currently trapped in.

14How much work is it for me?

We build it with you, and AI does the grunt work.

Got a 60-page PDF, or one enormous Word document that's been growing since 2019? Feed it straight in. Our AI colleague serves it back as small, snackable answers whenever a staff member asks a question.

That flips the usual order of things. You don't have to rewrite your entire knowledge base into neat little lessons before launch. You hand over the raw material and it answers from the whole thing. When you're ready to make it properly beautiful, the handbook editor is as easy to use as Word.

15Will my staff actually use it?

This is the one that matters. Nothing else on this page counts if the answer is no.

It's a work tool that looks and feels like the apps your team already use outside work, so it's familiar from the first tap. No training session required, no 40-page adoption plan.

The average user opens All Gravy around four times a day, which is close to how people treat their social apps. That's where the value actually comes from, and it's the number we hold ourselves to internally. Onboarding is where it starts: get day one right and the habit tends to stick.

16We just switched systems and the team is tired of change. Why now?

Totally fair, and there's no rush from us.

Start with the single thing that hurts most. Usually that's WhatsApp chaos, or an LMS where nobody completes their courses. Fix that one, let people feel the difference, then take the next piece when you're ready.

Nobody is flipping the whole business overnight. We'd actively rather you didn't.

04  /  Trust and proof

Why should I believe any of this?

You've been promised things before. These answers are about de-risking, not persuading.

17Can I try before I commit?

Of course. We'll set up a demo environment and you can run it with a few real people.

Here's the honest reason we push for this: on a feature list we look like everyone else in the category. Everybody has chat, everybody has courses, everybody has a dashboard.

The difference is the UI and how the app feels, and that's what unlocks daily use. You can't assess that from a comparison table. You have to put it in a few people's hands. Book a free demo and we'll set one up.

18Do you have references from similar customers?

Yes, and we'll match them to your market, segment and size.

We work with big, well-known operators and with 20-person independents who get just as much out of the platform. A reference only helps if their situation looks like yours, so we'll find one that does rather than sending you our shiniest logo.

Happy to put you directly in touch. In the meantime, read the customer stories from Honest Burgers, Pizza Pilgrims, Ottolenghi and others, in their own words.

19How do I know you'll deliver after I sign?

Because we don't get paid until you're live. That's the short version.

It's a fair question. Plenty of tech providers have overpromised to you before and we know the scar tissue is real. We're not going to do the same thing and hope you don't notice.

Two concrete things. First, we deliberately overinvest in customer success: you get a dedicated customer success manager from day one, not a ticket queue. This is a service as much as it is software. Second, your subscription doesn't start before you go live, which makes us extremely motivated to get you there properly rather than quickly.

20What's the first step if I'm interested?

A free demo call, or a business case session. Whichever you find more useful.

We look at what you'd actually get out of All Gravy, take your numbers, do the math together, and see whether it stacks up. If it doesn't, we'll tell you.

No pressure, no obligation. Book a free demo, or build your own branded app in 30 seconds and have a poke around first.

The bottom line

Nobody wants to buy something that feels like extra

It's a tough industry and you're trying to make ends meet, especially right now. So don't buy extra. The point is to replace the tools you're already paying for, cut the thing that costs you most - people leaving - and do it on a platform you can scale with, so you're not switching again in two years.

If it doesn't add up for your business, we'll be the ones to say so.

Still got a question we didn't answer?

Ask it on a free demo call. We'll do the math with your numbers and tell you honestly whether it works.
